1) Discover & Design (Free)
Initial Conversation
Start with a quick call to understand your travel style, dates, budget, pace, and must-dos — or complete our Customize form to kick things off.
Follow with a collaborative Zoom (screen share) where we review maps, photos, seasonality, and sample routes. We’ll align on priorities (adventure level, driving vs. relaxing, food/wine, culture, kid-friendliness, accessibility, etc.).

2) Itinerary Development (Flat fee: $599)
To begin: a $199 deposit starts your custom build. The remaining $400 appears on your final trip invoice.
What You Receive
- Custom route plan with an online map (pinned sights, trailheads, scenic drives, and experiences), plus a downloadable version for offline use.
- A fully written day-by-day itinerary with Google Map links, realistic drive times, route stops, and smart sequencing to reduce backtracking.
- Transparent, itemized costs (accommodations, excursions, transport) so you see exactly where your budget goes.
- A Booking Tracker so you always know what’s confirmed, pending, or on hold, and what is non-refundable.
- Curated restaurant suggestions (with reservation tips and local specialties).
- Adventure details: thorough planning of adventure activities with trailhead GPS pins, parking notes, permits where applicable, difficulty ratings, etc.
- Trip Tips & Packing Guide tailored to your location, season, and activities (layers, gear, luggage strategy, plug types, eSIM/Wi-Fi, driving rules, currency, and visas).
- Cultural & practical pointers: tipping norms, key phrases, local etiquette, road rules, holiday closures.
- Optional Reading & Watching list to enrich your experience.
How This Phase Works
- We present your draft plan and map for feedback.
- You get thoughtful revisions to dial in pacing, swaps, or upgrades.
- We advise on seasonality, crowds, and timing (e.g., “go early for parking at X”, “avoid Sundays for Y”).
3) Bookings & Holds (After You Approve the Plan)
What We Do for You
- Check live availability and place courtesy holds on accommodations, activities, and transport where possible.
- Coordinate vendors (tour operators, guides, outfitters) and manage back-and-forth so you don’t have to.
- Secure best-fit rooms/slots (room types, bed setups, early check-in requests, family/adjacent rooms where feasible).
- Balance payment timing and cancellation policies to keep your trip flexible.
- Monitor alternatives if a preferred option is waitlisted, and present solid backups quickly.
Note: Holds are time-sensitive and not guaranteed until confirmed by payment; we’ll flag deadlines clearly in your Booking Tracker.
4) Travel Document (Your Trip HQ)
When confirmations begin rolling in, we compile everything into one clean, mobile-friendly Travel Document available offline (also printable), including:
- Daily schedule with routes, links, confirmations, reference numbers, check-in instructions, and backup plans if weather shifts.
- Google Map links for each day, with offline map setup steps.
- Transport details (rail times, car rental pick-ups, road vignette/toll info, parking tips).
- Dining plan (where reservations matter, how far in advance to book, and our can’t-miss dishes).
- Adventure plan: trailhead pins, elevation/terrain notes, safety considerations, and “Plan B” options.
- Contacts for booked services and our recommended local partners.
- Trip Tips & Packing refreshers and your Reading/Watching picks, all in one place.
5) Final Steps & Payment
- We complete all bookings and share confirmations inside your Travel Document and Booking Tracker.
- We issue the final invoice, which includes the remaining $400 of the itinerary development fee plus your trip components.
- You review everything at a glance; we make any last sensible tweaks (restaurant time shifts, small schedule refinements).

- Need to shift dates or swap an activity? We’ll advise on fees/availability and handle the vendor coordination.
- Weather looking iffy? Your Travel Document includes Plan B options so your day still shines.
